Thank you for your interest in the Miami County Agricultural Society’s third annual Food Truck Competition and Rally a fundraising activity for our 172 year-old organization. This event will be held at the Miami County Fairgrounds on Saturday May 18, 2019.

The prizes will be as follows – WE ARE ACTIVELY WORKING WITH OUR SPONSORS AND PRIZES WILL BE ANNOUNCED LATER

Participating vendors will be required to accept up to $ 100.00 in free food coupons (in $5.00 increments) that will be distributed to sponsors and volunteers of the event. Vouchers that are redeemed over the $ 100.00 commitment by food trucks will be reimbursed to the food truck operator at face value by the Miami County Agricultural Society. Vouchers have no cash value!

It is encouraged that each participating food vendor have a sample size of at least one (1) signature item. This was the number one request from attendees following the previous events. This does NOT mean we are asking you to give samples away. The request is for smaller portions when applicable. We understand that this may not be possible for all of you due to the specialty of your menu items.

The event is free and open to the public. The goal for attendance is over 10,000; however, we anticipate many more. Miami County Fairgrounds is a family-friendly environment. Volunteers will be on site throughout the event to guide visitors, assist vendors and help with all logistics.

Application fee must accompany entry to be considered complete. To be entered in the juried competition; there will be an additional $ 50.00 fee payable with application. There will be two (2) divisions for the competition this year (Entrée and Dessert)

Applications will be accepted on a first come first serve basis and the application process will begin in January. Application to the event does not signify acceptance. You will be notified of your acceptance. You will also be notified in early May of your location on the fairgrounds.

The event will be open to the public from 11:00 AM to 9:00 PM so that attendees may come for lunch, dinner or both. The Miami County Agricultural Society will have an outdoor beer and wine garden with alcoholic beverages available for patrons. Vendors will be allowed to sell non-alcoholic beverages.

You must have a valid Ohio Mobile Food Servicer License or your must apply for a Temporary Mobile Food Service License. You must apply for your license no later than April 15, 2019. All rules and regulations of the Miami County Health Department must be followed.

The Miami County Agricultural Society will take care of scheduling inspections by the Miami County Health Department on the morning of the event. Vendors may start arriving at 8:00 AM and must be positioned for the event and ready for inspection by 10:00 AM on the day of the event. Your food truck must be fully self-contained. There will be water fill up available but not for on-going hook up. You must have your own potable water hose.

COTTAGE FOODS:

We will also have “cottage food” (pre-made such as cupcakes, cookies, etc.) at a rate of $125.00. Limited electricity is available to these vendors for an additional $25.00.

ARTS & CRAFTS:

We will have vendors representing Cash & Carry items including arts & crafts, home based businesses, etc. These vendors will be in the Poultry Building.

VENDOR RESPONSIBILITIES:

You must provide your own self-contained Mobile Food Cart/Truck and signage and menu must be visible to patrons. A valid Mobile Food Service License/Temporary Food Service License; completed application, certificates of insurance and indemnification naming the Miami County Agricultural Society must be submitted by April 15, 2019.

MIAMI COUNTY AGRICULTURAL SOCIETY RESPONSIBILITES

The Miami County Agricultural Society will pay any coupons issued and redeemed at a vendor’s site that are over the $100.00 per truck commitment. We will also arrange for inspections, solid waste disposal, electricity, security advertising and award prizes.

LIABILITY INSURANCE:

Vendor is required, at its sole expense and cost, to carry and maintain, for the mutual benefit of itself, the Miami County Agricultural Society, Miami County and their boards of directors, commissioners, officers, agents, employees and volunteers, a policy of general liability insurance against claims for personal injuries, wrongful death, or property damage occurring on or about the Miami County Fairgrounds premises with minimum amount of coverage of one million dollars ($1,000,000.00) per occurrence on account of bodily injury and/or death to one person and/or on account of damage to property. Vendors shall also carry business, automobile liability insurance with limits of at least one million dollars ($1,000,000.00) per occurrence. Vendor agrees to deposit said policy or policies (certificates thereof) with the Miami County Agricultural Society no later than April 30, 2019. Said policies will name Miami County Agricultural Society and Miami County Commissioners as additional insured. These policies’ will be issued by an insurance company reasonably acceptable to the Miami County Agricultural Society and shall bear an endorsement to the effect the insurer agrees to notify the Miami County Agricultural Society, not less than ten (10) days in advance of the event of any modification or cancellation of the policy.

INDEMINFICATION:

Vendor shall indemnify and save and hold harmless the Miami County Agricultural Society, Miami County Commissioners and Miami County Fairgrounds, their boards of directors, agents, employees, officers and volunteers from and against any and all loss, liability, damage, cost and expense including but not limited to reasonable attorney fees, for injury, death, loss or damage of whatever nature to any person, property or any other claim resulting from Vendor’s occupancy of the premises. This indemnification shall not extend to any loss, liability, damage, cost or expense caused by the act or omission of the Miami County Agricultural Society and its board of directors and their respective officers, agents, employees or volunteers.
