MCAS Debt Collection Process:
The policies below apply to any debt owed to MCAS. It is assumed that once a payment agreement has been made with a MCAS customer, they will receive an Invoice or other form of payment request in a timely manner. All contract customers agree to a payment due date upon signing their contract with MCAS.
- 30 Days Past Due Date: Second invoice sent (email or mail).
- 60 Days Past Due Date: Third invoice sent with a reminder phone call.
- 90 Days Past Due Date: “Final Notice” invoice sent
- 120 Days Past Due Date: Debt deemed uncollectible and is written off. A notification will be sent to all MCAS board members naming the debtor. Future MCAS business with this person/entity may be suspended. MCAS also reserves the right to send the debt to collections.
Uncleared Checks:
- 60 Days After Issuance: A reminder will be sent.
- 90 Days After Issuance: 2nd reminder will be sent.
- 120 Days After Issuance: The payee forfeits the funds to MCAS. A stop payment is put on the check. A notice will be sent to the payee.
*These rules apply unless there are other departmental/committee rules in which those would supersede these rules. Example: Each year, the Livestock Auction committee will decide the number of days from the check’s issue date that the exhibitor’s check will be cashable. *
**All checks dated 2025 and prior will be voided and not re-issued after August 4, 2026. If you have a check dated for 2025 or prior, please bring it to the office to be reissued before August 4, 2026.**
